Time off for startups without a separate HR system
How startups manage PTO requests, approvals, and team calendars inside the same workspace as tasks and messages. No BambooHR required for small teams.
A twelve-person startup rarely needs a full HR platform. You still need clear leave balances, manager approvals, and a calendar that shows who is out when you plan the sprint.
This guide covers what goes wrong with spreadsheets, what "good" looks like in a team workspace, and how to run PTO next to delivery work.
Why spreadsheets and email break down
PTO in a shared sheet works until it does not:
- Version conflicts when two people edit at once
- No audit trail for who approved what
- Managers approve in email while ICs check a different tab for balances
- Sprint planning ignores leave until someone is unexpectedly offline
- New hires do not know where to request time
At scale you graduate to BambooHR or similar. Between five and fifty people, you often need operational leave management, not benefits administration.
What good looks like in a team OS
Time off should live next to the people who take it:
| Role | What they do |
|---|---|
| Director | Configure leave types, balances, and policy in Team settings |
| Member | Submit requests from the same app they use for tasks |
| Manager | Approve or deny from Inbox or Today |
| Everyone | See coverage on the team calendar before committing to deadlines |
That is how Teamtastic handles leave. It is not a replacement for payroll or benefits. It is the layer product teams use every week.
Tie leave to delivery (the part HR tools miss)
When PTO sits beside tasks, you get:
- A morning brief that shows who is out today
- Friction views for managers when too many people are away the same week
- Task assignment that respects availability without exporting to another system
You stop cross-referencing BambooHR and a kanban board before standup.
Setup checklist for Directors
- Open Team → Time off and define leave types (vacation, sick, unpaid, etc.)
- Set default balances per person or per role
- Confirm managers know approvals appear in Inbox
- Publish your policy in Wiki and link it from onboarding
- Ask the team to request through the app, not Slack DMs

Teamtastic vs BambooHR for small teams
BambooHR is built for HR departments: onboarding packets, performance reviews, and compliance workflows.
If you only need request → approve → calendar, a team workspace is often enough until you hire dedicated HR. Compare total cost and tab count, not feature checklists.
Frequently asked questions
Can we export leave history?
Directors can export people and tasks as CSV from Settings → Tools. For migration questions, contact sales@teamtastic.net.
Do part-time employees get prorated balances?
Configure balances per person when you set up the roster. Your policy doc in Wiki should spell out the rules.
Does Teamtastic handle public holidays?
Use leave types and team calendar visibility so everyone sees company closures and individual PTO in one view.
