Time off (PTO)

Request leave, manager approvals, balances, and the team calendar.

How PTO works in Teamtastic

Time off is managed inside your workspace, not in a separate HR system. Directors configure leave types (vacation, sick, personal, etc.), default allowances, and whether manager approval is required. Everyone sees the same calendar so you know who is out before scheduling meetings.

Request time off

  1. Go to Team → PTO.
  2. Click Request leave.
  3. Choose leave type, start and end dates, and add an optional note for your manager.
  4. Review your remaining balance for that type before submitting.
  5. Submit, your manager sees the request in their queue and on Today if they use it.

Some leave types enforce minimum notice (e.g. two weeks for vacation). If dates are too soon, the form will explain what policy blocks submission.

Approvals (managers)

Managers and Directors approve from the PTO tab or from Today when a request needs action.

  1. Open the pending queue.
  2. Read dates, type, and note; check the team calendar for coverage conflicts.
  3. Approve or Deny with an optional comment.

The requester gets an in-app notification (and email if they opted in). Approved requests update balances and appear on the shared calendar. Denied requests stay in history with the reason, no more "was that approved?" threads.

Managers can use AI PTO summary on Today to narrate pending requests when enabled.

Balances and allowances

Directors set default annual days per leave type under org settings. They can override allowances for individual people (e.g. part-time schedules). Balances decrease when requests are approved, not when submitted. Members see remaining days before confirming a request.

Team calendar

The PTO calendar shows who is out across the org. Use it before booking customer calls or sprint planning. Today also surfaces "who's out" in your morning brief.

Notifications

PTO approved and PTO denied are among the few events on by default, most others are opt-in. Tune under Notifications.

Org policies in Wiki

Put detailed HR policy (blackout dates, carryover rules) in your in-app Wiki so members can self-serve. Teamtastic enforces technical rules (notice days, types); cultural policy stays in your docs.

Troubleshooting

  • Cannot submit: check balance, notice rules, and that PTO is enabled for your workspace.
  • Wrong balance: ask a Director to verify allowances under Settings → Team.
  • Manager not notified: they may have quiet hours or disabled PTO notifications; ping them in a DM.
