Settings map
Everything under Settings falls into personal preferences or workspace admin. Use this table to find the right screen:
Everyone
- Profile: name, avatar, timezone, work hours, personal Zoom/Meet URL, theme, language.
- Notifications: per-event in-app, email, push; quiet hours.
Managers and Directors
- Integrations: Zoom and Meet URLs, outbound webhooks, inbound email alias.
- Team: invites, org roles, workstream teams, team leads, PTO allowances.
- Rules: automation when tasks or PTO events occur (email, notify user, webhook, add comment).
- Tools: digest preview, tasks CSV export, people CSV, full org ZIP (Directors).
Directors only
- Billing: plan (Free, Pro, Enterprise), seats, payment via Paddle.
- Org logo upload (often under Profile company section).
- Leave type configuration and org-wide PTO defaults.
Org vs user settings
User settings follow you across devices: quiet hours, notification toggles, theme. Org settings apply to everyone: default leave types, feature flags (morning brief, Ask, inbound email, suggest assignee, stale rules). Only Directors change org-level flags unless your deployment delegates otherwise.
Automation rules
Under Rules, managers build workflows from templates or scratch:
- Triggers: task created, status changed, assigned, overdue; PTO approved.
- Actions: send email, notify a specific user, call a webhook with HMAC signing, add a task comment.
Each rule shows last fired time and recent run history for transparency. Rules are evaluated on schedules and task events, they will not spam duplicate alerts for the same condition.
Exports and compliance
Tools → export tasks CSV for reporting. Managers export people CSV; Directors can download a full org ZIP of tables for GDPR backup requests. Digest JSON preview lets you inspect the next daily digest before it emails the company.
Billing and seats
Active seats usually match accepted members. After inviting someone, billing may update when they accept. If charges look wrong after 24 hours, open Billing and contact support@teamtastic.net, see Troubleshooting.
Feature flags
Some capabilities (Ask, inbound email, AI assignee suggestions) are toggled per workspace by Directors or platform admins. If a feature is missing, ask whether it is disabled for your org before assuming a bug.
